Assets – module overview

The Assets module (Asset management) is where you keep track of company assets – laptops, monitors, phones, keys, or any equipment and items assigned to employees or stored at locations. You record who has what, when it was purchased, warranty details, and any attachments or notes. Everything in one place, without paper lists.

Why track assets in the system

A single central register simplifies inventories, handover protocols, and control over who has which assets. You can quickly search by name, category, or owner, open the asset detail, add a comment or attachment, and when ownership changes, generate a handover protocol or employee asset card in PDF. Asset categories and optional custom fields let you adapt the register to your company’s needs.

What the module offers

  • Asset list – overview of all items with search, filters by category, owner, and status (active / inactive), sorting, and Excel export. Click a row to open the detail.
  • Add and edit assets – new item or update via a pop-up: name, serial number, category, purchase date, price, supplier, owner (employee or free text, e.g. warehouse), warranty until, custom fields. You can mark an item as active or inactive.
  • Asset detail – item card with basic data, comments, and attachments. In the detail you can add a comment, upload an attachment, or download a generated PDF (asset overview).
  • Assets by users – view by employee (or by “labels” if assets are assigned to a place). For a selected user you see their asset list, can generate a handover protocol (receive / return) or an employee asset card in PDF.
  • Allocation request – an employee can submit a request to be allocated an asset (choose category, name, reason, attachments). Requests go through an approval process; responsible persons are set per asset category in Settings.
  • Asset settings – in System settings (Assets section) you configure asset categories with responsible approvers, custom fields for items, and import / export of assets to CSV (template, data export, bulk import).

Accessing the module

In the sidebar menu, select Assets. The submenu offers: Asset list, Assets by users, and Allocation request. If the module is not in the menu, check in Settings or with your administrator that your tenant has the Assets module license enabled.
