Vehicle settings

Vehicle module settings are changed in Settings: in the sidebar click Settings and in the category list select Vehicles. A page opens with several tabs – Event types, Limits, Custom fields, and (depending on implementation) Preferences or Fuel prices. Access is usually for administrators or fleet managers.

Event types tab

Here you define event types that are then assigned to vehicles in their detail – e.g. tax disc validity, MOT validity, tyre change, insurance.

  • Add event type – the button opens a form: name in SK, EN, CS (at least SK required), description in SK, EN, CS (optional). When editing an existing type you can set whether the type is active (inactive types are not offered when adding events).
  • List of types – table of all types; for each you see name, description and status. Use Edit to change an item, Delete to remove a type (removal is not recommended if events of this type are already assigned to vehicles).
  • Search – field to filter types by name.

Limits tab

Here you set annual limits for private use – i.e. how many euros (or other currency) a user has “available” for private km per year. Payroll deductions or remaining limit are calculated from these values and from trip log data.

  • Add limit – select user (from the tenant’s employee list), year (optional – empty means all years or default year) and annual limit in euros. After saving, the limit for that user (and optionally year) is used in trip logs.
  • List of limits – table with user, year and limit value. Edit to change the annual limit or year; the user of an existing limit cannot be changed (add a new limit and delete the old one). Delete removes the limit.

Custom fields tab

Here you define custom fields that then appear when adding and editing vehicles – e.g. internal number, fleet code, note for accounting.

  • Add custom field – form: name in SK, EN, CS (at least SK required), field type – text, number, date, select, checkbox. For “select” you enter options separated by semicolons (e.g. Summer; Winter). You can mark the field as required and set sort order. When editing you can deactivate the field (active checkbox).
  • List of custom fields – table with name, type, required and order. Use Edit to change the definition, Delete to remove the field (data already entered on vehicles may remain in the database but the field will no longer be shown).
  • Search – field to filter by name.

Other tabs (depending on implementation)

Some installations may have Preferences (e.g. whether to split km into private/business, whether to use annual limits) or Fuel prices (price per litre or kWh for private-use calculation). Exact options depend on the version – if you don’t see them, check with your administrator.
