Vehicles – module overview¶
The Vehicles module is used to keep a register of company (fleet) vehicles – vehicle details, driver assignment (or multiple drivers over time), a trip log (carlog) with journeys and refuelling, events (MOT, tax disc, tyre changes, etc.), and attachments or comments. Module settings – event types, annual limits per user, and custom fields – are configured in Settings under Vehicles.
Why use the module¶
You have all vehicles, who uses them, and how the trip log looks by month in one place. You can record private and business mileage, refuelling, lock closed months, and track annual limits (e.g. for private use). Events (MOT, tax validity, etc.) remind you of important dates, and custom fields let you add data as required by your company.
What the module offers¶
- Vehicle list – list of all vehicles with search by licence plate, VIN, make or model, and filters by status (active, in service, inactive) or by person. Click a row to open the vehicle detail.
- Add vehicle – form for make, model, engine, equipment, transmission, colour, licence plate, VIN, fuel type, purchase price, trip log regime (e.g. SK 50 %, full, CZ), driver assignments, fuel cards, GPS devices, and custom fields.
- Vehicle detail – card with vehicle data, trip log (month selection: odometer, fuel state, journeys, refuels, month lock, limits and deductions), events (by types from settings), delegations (who may drive in which period), comments and attachments.
- Vehicle settings – in Settings (sidebar) select Vehicles. Tabs: Event types (MOT, tax, tyre change, etc. – name and description in SK/EN/CS), Limits (annual limit in euros per user for private use), Custom fields (extra data on the vehicle – text, number, date, select, checkbox).
Accessing the module¶
In the sidebar menu select Vehicles. The vehicle list is shown; visibility depends on permissions (all vehicles or only those assigned to you or with delegation). Only users with vehicle management permission can add or edit vehicles. Module settings are under Settings → Vehicles.
