Asset settings¶
Asset module settings – categories, custom fields, and import/export – are in System settings. In the sidebar menu select Settings and in the settings categories choose Assets. A page opens with three tabs: Categories, Custom fields, and Import / Export. Only users with asset management permission can access it.
Asset categories¶
Categories are used to group assets (e.g. Laptops, Monitors, Keys). In the Categories tab you can add, edit, or delete categories. When adding or editing you set the name and optionally responsible persons. Responsible persons are used for allocation requests – requests in this category are sent to these approvers. Categories with no responsibles do not appear in the allocation request form; we recommend setting at least one responsible per category.
Custom fields¶
In the Custom fields tab you define extra fields for asset items (e.g. inventory number, storage location). When adding a field you set: Category (all or one specific), Field key (cannot be changed after save), Label, Type (string, number, date, text), Order. The field then appears when adding or editing assets.
Import and export¶
- Download template – CSV file with standard columns. Use owner_email to assign assets to a user. Missing categories are created on import; extra columns are imported as custom fields.
- Export assets CSV – download the current asset list to CSV (backup, editing in Excel).
- Import from CSV – upload a file; after processing you see the result (imported count, errors, row-by-row log). Duplicates are created again as new rows if you re-import. Deletion via import is not supported – delete assets manually in the asset list. After import, check the list and fix or remove any duplicates or errors.
