Received e-invoices¶
Incoming invoices → Received e-invoices is the queue of e-invoices your suppliers sent through the Peppol network. Innovanet downloads them from ePoštár (XML and PDF visualisation), stores them and acknowledges receipt in ePoštár. Nothing gets lost: if a download fails halfway, the next fetch picks the document up again and the same document is never stored twice.
List¶
- Tabs To process, Processed, All.
- Each e-invoice shows the supplier, number, dates, total incl. VAT and whether the supplier was found in the Address book (by company ID, tax ID / VAT ID or Peppol ID).
- Fetch e-invoices – fetches new e-invoices now (otherwise every 15 minutes) and refreshes the status of sent e-invoices.
- Icons: PDF preview, XML download, remove from the queue.
Creating an incoming invoice¶
- Click Process next to the e-invoice.
- The usual incoming invoice form opens, prefilled from the XML, with the PDF preview beside it (the Data from XML tab shows supplier, IBAN, variable symbol, order and lines).
- Prefilled: supplier and its bank account by IBAN, number, type, issue / due / tax point dates, variable symbol, currency, payment type, VAT table and the order by its number (with its contract and project).
- Complete the rest and save. An incoming invoice with the XML and PDF attached is created and goes through the usual approval.
!!! warning "Duplicate" If an incoming invoice with the same number from the same supplier already exists, a warning with a link to it is shown above the preview.
!!! note "Supplier not in the address book" The form needs a supplier from the address book. The e-invoice data is shown in a blue box – create the supplier in the Address book and pick it in the form.
Credit notes¶
A credit note (UBL CreditNote) is prefilled with negative amounts and a note with the original invoice number.
Removing from the queue¶
The bin removes the e-invoice from the queue. It is already acknowledged in ePoštár and will not be fetched again. An incoming invoice created from it stays with its attachments.
